1. Information You Provide
When you use our contact, free-session or referral forms, we collect the information you submit. Depending on the form, this may include your name, email address, phone number, whether tutoring is for you or your child, the student's grade, subjects, learning needs, availability, messages and selected tutoring plan. Referral requests also collect the referrer's name, email address and phone number. Only provide another person's information if you have permission to share it. Please do not send passwords, payment-card details, government identification or unnecessary sensitive records through these forms.
2. Why We Use Information
We use submitted information to answer your questions, contact you about your request, understand learning needs, match students with suitable tutors, arrange introductory sessions, coordinate tutoring and maintain related communications. Where you become a client, information may also be used to administer your tutoring arrangement and communicate about progress. We do not treat an inquiry as consent to receive unrelated marketing messages.
3. No Sale of Personal Information
Alpha Tutoring does not sell, rent or trade your personal information. We do not provide inquiry details to advertisers or data brokers. Submitting a form does not make your information public.
4. Who May Receive Information
Information may be accessed by authorized Alpha Tutoring team members and shared with an assigned tutor where necessary to respond to your request or provide tutoring. Our website hosting, database and email-delivery providers process information needed to operate the website, store inquiries and deliver correspondence. These service providers may process information outside Ontario or Canada, depending on their systems and configuration. Information may also be disclosed where required or permitted by applicable law.
5. Technical Data, Cookies and Local Storage
Our hosting provider may process technical information such as IP addresses, request times, browser information and operational logs to deliver and secure the website. The website uses an IP-derived identifier for submission rate limiting and spam prevention. Your animation preference is stored in your browser's local storage. A session cookie is used for signed-in administrators. The current website does not install advertising analytics or advertising cookies. External websites you choose to visit have their own privacy practices.
6. Consent and Information About Children
Our inquiry forms ask a parent or guardian, or an adult learner, to consent to contact about the request. Provide only information relevant to the requested service. Where a child cannot provide meaningful consent, a parent or guardian must act on their behalf. We seek separate permission before using a student's name, photograph or testimonial for publicity, or before introducing a new optional use that requires consent. A tutoring inquiry does not itself authorize recordings, transcription or AI-assisted processing of lessons.
7. Storage, Retention and Security
Website inquiries are stored for the team to review and respond to, and correspondence may also be held in email systems. The website's configured inquiry-retention period is 90 days. Copies in email systems or provider backups may follow different retention schedules; this is not a guarantee that every copy is deleted on the same date. Client, payment or dispute records may need to be kept longer for their purpose or applicable obligations. We use access controls and secure connections to help protect information, but no website or transmission method can guarantee absolute security.
8. Your Choices and Requests
You may ask about our handling of your information, request access or correction, or ask to withdraw consent or delete information by contacting our team through the Contact Us page. For privacy requests, contact alphatutoring.ca@gmail.com. We may need to verify your identity before responding. Requests are subject to applicable legal exceptions and recordkeeping obligations. Withdrawing consent may limit our ability to respond to a request or provide services that require the information. Do not submit additional sensitive documents unless our team explains why they are needed and how to provide them.
9. Questions and Policy Updates
Contact Alpha Tutoring if you have questions or concerns about privacy. We will review your concern and explain the next steps. You may also contact the Office of the Privacy Commissioner of Canada through priv.gc.ca. We may update this policy as our services or information-handling practices change. Where a new use requires consent, we will explain it and obtain the appropriate consent before proceeding.
